Teams Meeting - set up on shared calendar and add to personal calendar

Hi, I'm trying to set up team meetings for my organisation on Microsoft Teams. We have individual outlook calendars linked to our email addresses, as well as an overall shared calendar. I would like to set it up so that the meeting can be joined from the event either on your individual calendar or the shared calendar.

I have managed to do that, with the exception of my own. If I set up the event through the shared calendar, even if I invite myself separately it will not add the event to my individual calendar. Is there a way to do this? Thanks

    I understand that you would like meetings created in a shared calendar to also appear in your personal calendar, especially for your own participation. 

    In Microsoft 365, a shared calendar is treated as a separate calendar object, rather than being merged with your individual calendar. Because of this design, meetings created directly in a shared calendar will remain associated with that shared calendar and will not automatically appear in your personal calendar, even if you add yourself as an attendee. This behavior is by design, rather than a configuration issue. 

    To view or manage these meetings, you would need to access the shared calendar. If your goal is to have the meeting visible in both places, a recommended approach is to: 

    • Create the meeting from your personal calendar, and 
    • Add the shared mailbox or group as an attendee 

    This way, the event will appear on your personal calendar while still being accessible from the shared calendar. 

    I also agree that your idea is a great suggestion, and it could have a positive impact on productivity especially for scenarios where users need better synchronization between shared and personal calendars. 

    Because this is a product level limitation, the best way to ensure the Outlook/Teams product team is aware of your need is to submit feedback directly through the official Microsoft Feedback Portal. This is where the engineering team actively reviews customer suggestions, and many features have been implemented based on community feedback. 

    How to submit your suggestion: 

    1. Visit the Microsoft Feedback Portal 
    2. Navigate to: Outlook · Community 
    3. Select Send feedback User's image
    4. Provide a clear description, for example: 
      “Please allow meetings created in shared calendars to also appear automatically in the organizer’s personal calendar.”

    This happens because events created directly on a shared calendar do not automatically add to your personal calendar, even if you invite yourself. Outlook treats the shared mailbox as a separate identity.

    Try the following:

    • Instead of creating the meeting from the shared calendar, create it from your own calendar and then add the shared calendar as an attendee. → This will place the meeting on both calendars.

    Alternatively, open the shared calendar event and click Send update after adding yourself. In some cases, this forces Outlook to send you a proper meeting invite.

    If the shared calendar is a Microsoft 365 Group calendar, make sure the event is created using “Add to group calendar” so members receive it.
